The Assistant Property Representative supports the Lead Property Representative by processing rental applications, conducting property tours, addressing and resolving tenant concerns, and completing leasing and general office duties. This individual will be primarily stationed on-site at a high rise apartment complex in downtown Madison with occasional meetings and tasks assigned at MPM’s main office.

This fast-paced position involves quickly developing a deeply rooted understanding of our property management software system, leasing practices, and internal procedures. Our ideal candidate will be a quick, detail-oriented learner with proven abilities in written and verbal communication and will provide superior customer service.

Responsibilities:

Quickly and capably learn and work in MPM's internal property management software system
Learn and be able to explain MPM's lease and leasing process to prospective residents of all demographics
Thoroughly understand MPM's policies/procedures and Madison housing regulations
Answer incoming phone calls and direct callers as needed
Conduct both scheduled and walk-in property tours for prospective renters
Work with the Lead Property Representative, and the Marketing and Leasing supervisors to coordinate and execute Open Houses at the assigned property.
Process leasing applications in accordance with MPM's policies and Fair Housing regulations
Schedule and execute lease signing appointments to ensure all parties understand the terms and conditions of the lease
Data entry both in MPM’s internal property management software system as well as Word/Excel
Address resident concerns, maintenance requests, and questions as they arise.
Document all communications with prospective renters, residents, and property owners
Provide excellent customer service to prospective renters, current residents, and property owners
Develop a thorough understanding of the assigned properties and their operations
Fill in, as needed, for other property managers
Develop an understanding about the Madison rental market, market rates, and best practices

Requirements:

Valid driver's license
Insured personal vehicle available every day to use as-needed (all mileage is reimbursed.)
Working knowledge of computers and basic windows programs
Experience with property management or comparable software preferred
Customer/Client Service Experience Preferred

Hours:

Part Time or Full Time depending on experience and scope of work determined by the candidate and the Lead Property Representative. Some weekend hours required.

Full time positions include paid holidays, vacation time, and a benefits package. A company cell phone will also be provided.
